How do I get a tutor?

We work with many families, local authorities and schools. We also work with select companies.

We specialise in supporting students with special educational needs (SEN) and those who have fallen behind at school or lack confidence and/or motivation. Our experienced tutors can handle complex provisions, including helping students with EHCPs (Education, Health and Care Plans).

We offer flexible options depending on the needs and preferences of each family:

1. Home Tuition: Tuition can take place in the comfort of your own home. We require a parent or legal guardian be present at home during sessions for students under 18 or vulnerable adults.


2. Online Tuition: We provide online tuition through secure platforms. We require a parent or legal guardian to be present at home during online sessions for students under 18 or vulnerable adults.


3. Public Spaces: Tuition can also be arranged in public institutions, such as libraries. In such cases, tutors ensure that the staff at the location are informed and aware of the sessions taking place.

4. At School: We can provide tuition at school, working collaboratively with your child’s teachers to arrange this.

We offer tutoring across a wide range of levels to support students of various ages, educational stages, and learning needs. Our experienced tutors provide tailored support for the following levels:

Our approach is tailored to each student’s needs, focusing on a nurturing environment that builds confidence, academic ability, and independent learning skills at all levels.

After you make an enquiry, our client team will gather initial information to understand your child’s needs and assess if we can support your child. If so, we then reach out to our tutors to see if a suitable tutor is available. Our client team will keep you updated on our progress. We also offer a free consultation with an education consultant to understand your child’s unique needs and learning preferences.

After the consultation, if we have a suitable tutor, we will propose a tutor who matches your child’s needs.

Following registration, the tutor will call you to introduce themselves and arrange for a refundable trial lesson.

At Bright Heart, we use a carefully considered matching process to pair your child with the most suitable tutor. Our education consultants assess each child’s needs, strengths, and personality, along with the desired subject focus and any SEN requirements. We prioritise assigning tutors who align well with your child’s learning style and educational goals.

Additionally, our tutors undergo thorough training in the Bright Heart Approach, ensuring they can offer a nurturing and supportive environment that promotes academic growth and personal development.

We believe that our team is best placed to recommend a tutor for a particular student. We meet all our tutors in person and get to know them, and take considerable time to understand the needs of each of our students. We, therefore, believe that the education consultant assigned to oversee a particular provision should therefore be responsible for proposing a tutor for a particular student, and not parents based purely on a tutor profile on a website. This approach has resulted in many satisfied clients and industry awards.

This varies depending on a few factors, including whether online or in-person, location, scheduling flexibility, frequency of sessions, and your child’s specific needs. We can usually complete this process within a week if we have an available tutor, but if we need to specifically recruit a tutor to meet your needs, this process will naturally take longer. Our client team will keep you updated on progress.

We would much rather provide a high-quality tutor that is an excellent match for your child than rush this process. Unfortunately, due to the high demand for our tutors, we are not always able to provide a tutor to meet every tuition request.

The frequency of tutoring sessions is tailored to your child’s needs, goals, and circumstances. Our education consultants will discuss tutoring frequency with you.

We structure tutoring sessions based on your child’s specific needs. For in-person tutoring, we require a minimum of 1 hour for a session.

The Bright Heart Approach centres on nurturing the whole student, not just their academic abilities. We focus on creating a trusting and safe learning environment where students feel understood and supported, which allows them to engage more confidently in their learning. We have received industry recognition for our unique approach (see Awards). Our commitment to combining heart-based, person-centred learning with high-quality academic support has helped many students both academically and personally.

Bright Heart makes tracking progress straightforward and transparent.

Each student has an Individual Learning Plan (ILP) with SMART academic and SEMH (social, emotional and mental health) targets. Attendance and engagement are tracked, with lesson reports provided after each session.

Lesson reports include tracking student engagement and whether academic and SEMH targets per the ILP are on track. Reports also cover learning objectives, description of the session, comments about the session, comments about the student, comments on lesson outcomes, and comments if issues with engagement or targets are flagged. ILPs are updated periodically to track progress against targets.

ILPs and lesson reports are all reviewed by the assigned education consultant, with appropriate follow-up action taken where necessary. These reports are accessible through our secure tuition management platform, TutorCruncher, allowing you to monitor your child’s progress.

Fees vary based on the tutor’s experience and qualifications, and will be clearly indicated in a tutor proposal.

In-person rates start from £68 per hour, including VAT (£56.67 ex VAT), and online rates start from £47.40 per hour, including VAT (£39.50 excluding VAT).

We also offer homeschooling discounts, depending on hours of tutoring required – please contact our client team for more information.

Online rates for international clients start from £43.80 per hour.

Our rates include the cost of tutoring and oversight provided by the education consultant assigned to oversee the tutoring provision. All our education consultants are experienced UK-qualified teachers.

Yes, the registration fee is £60 for parents, including VAT. This grants life-long family access to our tutoring services.

This fee is payable if you elect to proceed with a proposed tutor and is fully refundable if you do not wish to continue with Bright Heart following the initial refundable trial lesson.

Yes, Bright Heart Education charges VAT on all of its services. Its VAT registration number is 370137224.

The trial lesson is a 1-hour initial session to help determine if the tutor is a good fit for your child. If you decide not to continue with the tutor after this session, you won’t be charged for the first hour. If the trial exceeds 1 hour and you choose not to proceed, you will be billed for any additional time.

Yes, if the initial tutor is not a good fit, you can request an alternative. We will provide additional tutor proposals until we find a suitable match or advise if we cannot meet your specific requirements.

You can decline to continue with a tutor following a trial lesson without notice. After that, we ask that parents provide a 1-week notice period if they wish to stop tutoring. Tutors are asked to provide at least 2 weeks’ notice to stop tutoring.

These awards reflect Bright Heart’s commitment to high-quality tuition, especially in supporting students with special educational needs.

Fees are charged at the rate specified in the tutor proposal. If you wish to continue after the trial lesson, Bright Heart provides an initial package covering a minimum of 4 hours of tuition. Payment for this package is required before further tuition. After this, you may purchase additional packages in blocks of 4 or more hours or choose monthly billing via direct debit for 8+ hours per month.

Our friendly client team will send your credit requests when you account balance has been used up so that you can purchase more lessons, and we are here to answer any billing questions. You can contact the team with any billing questions by emailing accounts@brightheart.co.uk or calling Caoimhe (pronounced “Kweeva”) at 0208 064 3800.

We will send you a monthly invoice early each month (typically by the 5th working day), showing how many lessons you had in the preceding month and the cost of those lessons. We will also send lesson reports at the same time for each lesson to help you keep track. We will also indicate if any money is owed for those lessons or if the costs have been fully covered by your lesson packages purchased.

Unused hours from a purchased lesson package (except the initial package) can be refunded upon request if they have not expired (a package is typically valid for 6 months). However, we do not typically offer refunds for unused hours within the initial package, except under limited circumstances at our discretion. After each tuition session, tutors provide lesson reports through our tuition management system, TutorCruncher. Parents can log in securely to access feedback on their child’s progress, and tutors are also available to discuss feedback if needed. Bright Heart also emails parents all lesson reports for the month early in the following month (typically by the 5th working day).

Parents or legal guardians are encouraged to provide a quiet, distraction-free space for tutoring. If tutoring occurs at home, a guardian should be present unless the student is over 18 and not considered vulnerable. Parents should also ensure that students have the necessary materials, have completed any homework, and are respectful and attentive during lessons.

Lessons cancelled less than 24 hours in advance may still be charged. If the tutor is late, they may stay longer to make up the time, or the session cost will be reduced. Please share planned holidays and notify tutors of any schedule changes with reasonable notice.

Bright Heart has in place stringent recruitment policies to ensure that it recruits tutors with the necessary professional competencies. This includes detailed screening, and interviewing, including scenario-based questions, and background checks.

As part of our safer recruitment practices, we also conduct enhanced DBS checks (see next question), reference checks, identity verification, prohibition from teaching checks (if applicable), qualification verifications, online checks and checks on the tutor’s right to work in the UK. For tutors who have lived or worked outside of the UK, we perform additional checks to verify their background, such as obtaining police clearance certificates or equivalent documentation from relevant countries.

We also meet all our tutors in person prior to them tutoring.

Our policy on DBS (Disclosure and Barring Service) checks for tutors is that every tutor must hold an Enhanced DBS check with a check of the children’s barred list less than 12 months old before starting any tutoring assignment. This level of check provides details of any criminal convictions, cautions, warnings, or reprimands, including any information relevant to working with children.

We require that tutors either obtain a new Enhanced DBS certificate annually or register for the DBS Update Service, which allows us to check the status of their certificate on an ongoing basis.

Bright Heart carefully monitors the age of tutors’ DBS checks on its single central record.

Tutors are required to adhere to our safeguarding policies and notify us of any changes in their DBS status immediately. We monitor all safeguarding incidents closely and maintain open communication with tutors regarding any updates to safeguarding practices or requirements.

All tutors undertake safeguarding induction training (including Prevent) and annual third-party safeguarding refresher training through the Safeguarding Network covering Keeping Children Safe in Education, Part 1, and must pass related tests. Tutors receive periodic additional in-person safeguarding training and broadcasts.

In addition, all tutors must complete a person-centred / SEN training course produced exclusively for Bright Heart by the National Association of Special Educational Needs (Nasen), and pass a related test. Nasen also provides an annual in-person training workshop for tutors.

Tutors are also all provided with access to free continual professional development (CPD) through Bright Heart’s subscription to TES Develop.

Tutor training is also recorded on our single central record.

Our tutors are selected through a rigorous process designed to ensure they meet high academic and professional standards, and are equipped to deliver compassionate, effective tuition in line with the Bright Heart Approach.

At a minimum, a Bright Heart tutor must have 12 months of relevant teaching or tutoring experience in the UK, hold a university degree or be actively studying towards a degree, and have special educational needs (SEN) experience and a passion for tutoring students with SEN. Most of our tutors have vastly more experience, with many holding teaching and / or SEN qualifications.

We will clearly set out a tutor’s experience and qualifications when we send a tutor proposal.

We are committed to maintaining the highest standards in tutoring, as outlined in our Quality Policy. To ensure that our tutors deliver excellent, impactful, and engaging tuition, we follow a comprehensive vetting, training, and quality assurance process:

    1. Rigorous Recruitment Process: Each tutor goes through a multi-stage interview process, ensuring they are not only academically qualified but also align with our values and SEN-focused approach. We check references, verify qualifications, and conduct in-depth assessments of each tutor’s experience and teaching style.
    2. Enhanced DBS and Safeguarding Checks: All tutors are required to hold a clean, current Enhanced DBS certificate and adhere to our Safeguarding Policy, including a commitment to maintain a professional and safe learning environment for all students. Tutors must also undergo regular safeguarding refresher training.
    3. Specialised Training: Tutors are trained in the Bright Heart Approach, a nurturing and person-centred teaching method that encourages trust, self-belief, and student engagement. Additionally, we provide access to a dedicated online CPD platform (through TES) and SEN-specific training through Nasen, ensuring that tutors are well-prepared to support students with diverse needs.
    4. Individual Learning Plans (ILPs): Tutors work closely with education consultants to create and follow tailored Individual Learning Plans for each student. ILPs set specific academic and personal development goals (including SMART targets) that are regularly reviewed to ensure progress is being made and adjustments are implemented as needed.
    5. Ongoing Support and Feedback: Tutors receive continuous support from our team, including regular performance reviews and observations where necessary. We gather feedback from parents, students, and our education consultants to assess and improve each tutor’s teaching impact.
    6. Lesson Reporting and Quality Assurance: Tutors complete detailed lesson reports within 2 business days of each session. These reports track student engagement, SEMH targets, academic progress, and any areas of concern. Our team reviews these reports to ensure that students benefit from each session and that any issues are promptly addressed.
    7. Recognition and Development Opportunities: To foster high performance, we recognise outstanding tutors through our “Tutor of the Month” award, which acknowledges those who consistently deliver excellence. Tutors demonstrating exceptional results and commitment also have opportunities for advancement within our tutor tier system, rewarding their dedication and quality. We also offer tutors who meet our high standards and provide a minimum number of tutoring hours an incentive payment twice a year.

By following these structured measures, Bright Heart ensures that our tutors are equipped, motivated, and consistently delivering the highest standards of tuition for every student.

Bright Heart has a Designated Safeguarding Lead (DSL), Carol Minkoulou to manage any safeguarding concerns. She is supported by two Deputy DSLs – Dr Ryan Stevenson and Dr Rosie Ingold. Tutors are required to follow our Safeguarding Policy, which prioritises the welfare of students. Parents should inform the DSL immediately if any safeguarding concerns arise. Yes, Bright Heart has supported over 150 students at 25 local authorities over the last 3 years. Our established partnerships reflect our reliability and success in delivering tailored SEN support

Setting up tuition with Bright Heart involves a simple, collaborative process. We conduct an initial consultation to understand the student’s needs, educational goals, and any specific challenges or requirements. We speak to all relevant stakeholders, including parents and case workers. Our education consultants carefully review EHCPs and other relevant documentation.

Based on this, we carefully match the student with a qualified tutor who aligns with their academic needs and personal learning style. After this match is approved, the tutor arranges an introductory session with the student to build rapport and begin setting a tailored learning plan. Ongoing feedback and progress reports ensure that tuition remains aligned with the student’s objectives and needs.
