Safeguarding overview

Safeguarding and safer recruitment are at the heart of everything we do.

We passed a comprehensive safeguarding/safer recruitment quality assurance review as a National Tutoring Programme (NTP) Tuition Partner in October 2023.

Staff and tutors sign Bright Heart’s Safeguarding and Child Protection Policy, which references our Online Tutoring Policy, Anti-bullying Policy and Attendance Policy.

Clients/parents are sent our Safeguarding Policy. Our terms and conditions highlight the importance we place on safeguarding and outline important procedures, including that a parent / legal guardian must be present during tuition (in-person or online) for a child / vulnerable adult.

Our staff cover safeguarding in initial parent/client calls and consultations. Any concerns are discussed with the safeguarding team.

Tutors conduct risk assessments covering the learning environment and a general assessment, noting key risks and actions needed to prevent/mitigate risks.

Tutors monitor all aspects of provisions for safeguarding risks and are trained to raised concerns with the safeguarding team.

Safeguarding risk management

Safeguarding is covered in detail in our Risk Management Overview –
Safeguarding document, which is frequently reviewed. This document includes a risk register outlining key safeguarding risks and how Bright Heart mitigates them. The document outlines the responsibilities of our DSL and deputy DSLs and how we make safeguarding a central pillar of interactions with clients/parents/carers and tutors.

Safeguarding policies are typically updated each September, incorporating changes in legislation and Keeping Children Safe in Education.

The DSL records safeguarding incidents in the safeguarding log. Bright Heart’s board of directors reviews this.

Attendance is monitored and reviewed by our education consultants. Concerns raised in reports are discussed with the tutor and parent/carer and escalated as appropriate. For unexplained absences, we initiate first-day calling and, where needed, escalate the same day under our safeguarding policies.

External partnerships

Bright Heart collaborates with schools, PRUs, and local authorities where safeguarding concerns require joint action. The safeguarding team attends regular meetings, ensuring all stakeholders are well informed and take necessary action.

Safeguarding training

All tutors/staff receive safeguarding induction training, including Prevent Duty, and annual third-party safeguarding refresher training, and must pass related tests.

Tutors receive periodic in-person safeguarding training and online updates. Staff training includes safer recruitment and GDPR training.

We maintain a general and DSL training log to ensure training remains current.

Safer recruitment overview

We follow a stringent process to ensure we only work with suitable tutors.

All staff involved in the recruitment process receive third-party safer recruitment training.

Tutors are carefully screened, interviewed by a director / education consultant, and background checked. Background checks include:

Successful candidates enter into a contract for services with Bright
Heart and agree to be bound by our various policies and procedures.

We meet our tutors in person before any tuition commences.

Bright Heart maintains a single central record to evidence safer recruitment checks and track training and tutors’ Enhanced DBS checks.

Tutors must hold an Enhanced DBS with a children’s barred list check < 12 months old to tutor.

Tutors must adhere to our Code of Ethics, as drawn up by The Tutors’ Association, of which we are a corporate member.
